A Treasurer's Checklist to start the school year

  • Obtain books and records from last Year's treasurer
  • Receive a complete and accurate audit prior to your acceptance of the books and records
  • Change signature cards for all bank records
  • Prepare a budget for the upcoming school year
  • Present the budget to the executive board and to the association for approval
  • Read the Financial Section of the PTA Toolkit for correct procedures on paying bills, making financial motions, etc. The Toolkit is on the California State PTA website. www.capta.org (or request a copy from the President).
  • Units forward membership dues weekly to councils.
  • Councils forward dues monthly to 12th District.
  • Councils be sure to include a remittance form with each submission sent to 12th District. List each unit's submission separately.
  • Confirm that a tac return is prepared if gross receipts exceeded $25,000.00 by 11/15. 

 

In order for the 12th District to meet the California State PTA deadlines, the following dates are provided to all councils and out-of-council units. Please be prompt with your submissions, as the state is not flexible on their deadlines. Memberships received after the deadlines will not be counted for the current school year. Late fees are assessed and required by the California State for any late insurance premiums. Failure to pay late fees ma cause the unit to be in jeopardy. Units that belong to councils should follow ypur council deadlines and councils are to follow district deadlines below.
